For millions of Indians who have long wondered whether an ordinary letter, newspaper or government communication actually reached its destination, India Post has unveiled a transformative digital solution. In a landmark step towards modernising the country’s postal network, the Department of Posts has rolled out barcode-based online tracking for Unaccountable Mail across India through its Advanced Postal Technology (APT) 2.0 platform.

The initiative promises to bring unprecedented transparency, operational efficiency and customer confidence to the category of mail that constitutes the largest share of India’s postal traffic—approximately 90 crore unaccountable mail articles every year.

Announcing the nationwide rollout in Ahmedabad, Krishna Kumar Yadav, Postmaster General, North Gujarat Region, said the reform marks a significant leap in India’s journey towards a technology-driven postal ecosystem.

“The long-standing concern about whether unaccountable mail sent through post offices has reached its destination will now be a thing of the past. With barcode-enabled tracking, these mail articles can now be monitored online throughout their journey.”

The category of Unaccountable Mail includes ordinary letters, newspapers, magazines, government communications and similar postal articles that traditionally had no digital identity, making individual tracking impossible.

Until now, the Department relied on manual sample counts conducted only twice a year to estimate annual mail volumes. Besides being labour-intensive, the process often fell short of generating accurate operational data required for planning, resource allocation and service improvement.

Explaining the new system, Krishna Kumar Yadav said every unaccountable mail article will now receive a unique barcode at the time of booking through the APT 2.0 platform. On reaching the destination post office, the article will be delivered digitally through the Dak Sewa App, creating an end-to-end electronic record of its movement.

“The entire delivery process of unaccountable mail will now be managed digitally, enabling accurate real-time records of mail volumes and more effective monitoring across the postal network.”

To further streamline operations, India Post is encouraging bulk mailers to print department-approved barcode series directly on their mail or affix pre-printed barcodes before booking. They are also being advised to submit booking data in Microsoft Excel format to facilitate faster, error-free induction and automated processing.

According to the Postmaster General, the initiative will significantly improve transparency, accountability and operational efficiency while generating reliable data for future policy formulation and resource planning.

“The barcode-based induction and invoicing system will strengthen transparency and accountability, improve planning and deployment of manpower, enhance service quality and customer satisfaction, and accelerate the Department of Posts’ digital transformation towards a more efficient and technology-driven postal service.”

The rollout represents one of the most significant technological upgrades in India’s postal history, reinforcing the Department of Posts’ commitment to combining its vast physical network with digital innovation.

By replacing manual estimation with real-time data and enabling online visibility of ordinary mail, India Post is not only modernising its operations but also restoring confidence in one of the country’s oldest and most trusted public services.
